Enrollment Services

Admissions

The Admissions Office is actively recruiting students with the intention of having them enroll.  All of our activities this fall have been intentional with the end goal to recruit more students.  The results of these activities have increased our applications by 57% and admitted by 13%.

Listed below are some of the initiatives that we have completed and/or working on:

 

Learner Success

  • Admissions  
    • Currently implementing the Ellucian CRM product – Recruiter.
    • Crossed-trained all Admission staff on interactive recruiting spreadsheets.
    • Automated all admissions letters including nursing letters.  All letters are printed daily automatically by 7:00 a.m.  and are sent out daily.
    • Completed the project to enter ALL transcripts into Banner (even without an application). We have emptied a complete file cabinet.
    • In collaboration with Public Relations – created a new view book for recruiting. This is the first new view book since 2009.
    • Created a new publication with Village Press that outlines the steps to apply to NMC.
    • Divided prospective students between recruiters and the Director of Admissions by alpha order to follow up with students and to hold recruiters accountable. This resulted in a 10% increase in new student enrollment this fall.
    • Currently having the front desk in Admissions Office reconfigured to meet ADA standards.
    • Continue to hold weekly staff meetings and invited a specific program/major to our meetings twice a month – to keep these majors fresh in our minds as we meet with prospective students and their families.
    • Continue to meet monthly as a staff with Financial Aid, Student Financial Services, and Records & Registration offices. These meeting include sharing Fall/Spring/Summer enrollment goals and collaborative trainings. Great examples include: scanning and indexing, holds and high school transcripts.

LIFELONG RELATIONSHIPS

  • Visited all In-District High Schools, TBA-ISD, and out of service area high schools; 45 schools total.
    • Visit Traverse City Central High School on the first Friday of every month.
  • Continued NMC involvement in ICAN – Local College Access Network (includes working with schools from Mancelona, Kalkaska, Bellaire, Alba, Central Lake and Forest Area).
  • Participated with the State of Michigan College Access Week Program from November 4-8; the application fee was waived for any student applying to NMC.  We received 435 applications that week alone! Area schools that had 100% participation from their senior class included Mancelona, Kalkaska, Central Lake and Forest Area High Schools.
  • Held a joint recruiting program with Ferris State University for undocumented students in Suttons Bay Elementary School.
  • Held the 13th Annual Girl Tech – over 200 10th grade girls participated from the TBAISD.
  • Working with Financial Aid:
    • Attending Financial Aid nights at area high schools.
    • Attending February FAFSA Workshops.
  • Visiting high schools with a large concentration of international students.
  • Orientation – we are actively involved in this process and working with a team of people to deliver a student centered process.
  • Held an enhanced Partner Breakfast (Area Superintendents, Principals, and Counselors) at the Hagerty Center.  We had 42 area administrators attend the breakfast which included discussion regarding Dual Enrollment, Enhanced NMC Scholarships, and the application process.
  • Dual Enrollment – have updated the application and presented these changes to the area high school administrators and counselors.
    • Continue to have separate orientations for DE students.
    • Sign-off on all DE applications and classes for continuing DE students to ensure accuracy of classes.
    • Developed a listing of classes showing what classes a student can take.
    • All new materials are available on our web site.
  • Developed a Comprehensive Visitation program.
    • Developed an on-line assessment of a prospective students and their families’ visitation experience.
    • Feedback has allowed us to tweak the process already, i.e., waive application fee the day of their visit!
  • Offering a presentation, lunch and student-guided tour will be part of every prospective student and their families experience at NMC.
  • Purchased software for a virtual tour that allows prospective students to see all four of our campuses with video included and 360 degree pictures. Filming of student tour guide is currently underway; to be completed by Christmas.
  • We had over 198 visitors to campus during the month of October.
  • An admissions recruiter is assigned to a specific day of the week, each week, to present at the program.
  • Web sign up available 24/7.
  • We also have walk-in Fridays for individual appointments.
  • Continue to work with Advising and Student Success Center to enhance the Conditional Admission process.  Working to define this population and create a working model for academic success that is measureable.
    • Developed a mandatory ENG 107 – Academic Study Method cohort class to track progress.
    • Enroll student at orientation into ENG 107 course automatically as a mandatory course.   Director of Admissions enrolls student into class after student checks into orientation and before they register for course. They will meet with advisor and see that they are already enrolled in ENG 107 course.
  • Continue to facilitate the Personal History committee to review students who have answered yes to the criminal history question on the application. Marcus Bennett and Cathryn Claerhout are co-chairing this committee.  The committee has developed standards and practices/guidelines to follow that apply a fair and standard decision to students.
  • Working with Financial Aid to develop strategies involving scholarships earlier in the recruiting cycle and the communication stream as part of an integrated marketing initiative.

LEARNER SUCCESS (Admissions/Academic)

  • Working with Stephen Siciliano and Dental Assisting on creating a new process and procedure for accepting Dental Assisting students and tracking them in this major.  A new program code was created in Banner – Pre- Dental Assisting that students will be initially admitted to and then will move into the major when they are eligible for clinical rotation.
  • Working with Maritime and Aviation programs on recruiting practices; we currently have Judy Druskovich one day a week in Admissions for recruiting.
  • Worked with the Commitment Scholarship program to develop cohorts in Banner to accurately track retention and graduation of this cohort.

LEARNER SUCCESS (Admissions Staff)

  • Scheduling weekly staff meeting with thoughtful strategies and content.
  • Established working relationships with Records/Registration, Financial Aid and Student Financial Services and are cross-training all of our staff to better inform students.  All Directors meet once every two weeks to review any issues; all staff meet monthly for continuous ongoing training between all departments.
  • Received recertification in SEVIS to continue to be able to offer F and M visas.
  • Received certification to offer J-1 visas.
  • Completely updated record keeping standard to ensure compliance with SEVIS and USCIS.

 

Financial Aid

LEARNER SUCCESS

  • Working with Davenport, Western Michigan, and Michigan State to expand consortium opportunities for our students.
  • Met with Lindsey Dickinson and Steve Ursell to brainstorm how Student Financial Services can better support international students.
  • Financial Aid staff attended the Federal Student Aid Conference held by the United States Department of Education.
  • Financial Aid staff attended the Michigan Banner Users Group workshop.
  • Director of Financial Aid attended the AACRAO/SEM (American Association of Collegiate Registrars and

Admission Officers/Strategic Enrollment Management) conference.

LIFELONG RELATIONSHIPS

  • Began to coordinate indexing between Admissions, Records and Registration, and Financial Aid by meeting to begin to align practices.
  • Established joint celebrations with Admissions, Records and Registration, Student Financial Services, and Financial Aid consisting of monthly potlucks and birthday celebrations.
  • Started to coordinate and align indexing between Admissions, Records and Registration, Student Financial Services and Financial Aid.

FISCAL THRIVEABILITY

  • Processed 6633 financial aid applications.
  • Offered $47,656,584 in financial aid (federal, state, and institutional).
  • Verification processing completed within three days upon receipt of all documents; aid is awarded to students in approximately one week upon completion of the verification process.
  • Student Financial Services participated fully at Orientation and spoke directly with almost every student about their account; explained NMC Student Self-Service and assisted with financial aid.
  • Cross-training accomplished for R2T4s.
  • Continued movement on the indexing of old documents with a total of 28,710 documents indexed between

August 1st and now (including 1314).

NETWORKED WORKFORCE

  • Staff members attended the Community College Sector meeting in Lansing to discuss issues facing the financial aid offices in community colleges.

 

Records & Registration

LEARNER SUCCESS

 

  • Degree Works – participated in coordinating, planning, and entering data for all programs, and testing My Academic Plan program.
  • Maintained/used CAPP program while My Academic Plan is being implemented.
  • Worked with Math department in creating/implementing new formatting for remedial math courses.
  • Shifting job responsibilities in office in preparation for staff retirements.  New staff learning course evaluations and grading procedures.
  • Set up grading dates (Non-Attendance, Grade Alerts, and Final Grades) for the 2014-2015 year.
  • Updating job procedure manuals for retiring employees.
  • Certified enrollments for 191 veterans for Fall 2013.
  • Received approval from VA for our new four-year bachelor’s maritime program.
  • Verify residency each month.
  • Reverse Transfer evaluations for 41 and granted 7 additional degrees.
  • Scanned 9000 documents and working to eliminate hard copies in the office.  Committee met to revise folders for better filing and retrieving.

Honors/Phi Theta Kappa

  • Phi Theta Kappa served as resource guides during welcome week, wearing neon green shirts with a giant question mark and “Ask Me About NMC” on the back.
  • Hosted a Wellness Fair for students as part of their Honors in Action research.
  • Inducted 58 new members fall semester (our highest number ever).

 

National and International Expertise

  • Kari Kahler was selected as one of 26 faculty scholars from across the country to lead the 2014 Honors Institute to be held in June 2014.

 

Student Success Center

  • Proctored over 4600 tests so far this semester (before finals week).
  • Hired Native American Success Coach (begins in January 2014—funded through a 2% grant).
  • Hired Career Coach (begins in January 2014—to assist students with resume, cover letters, and interview preparation skills).
  • Implemented Early Alert Referral (faculty can refer students to the Student Success Center—34 referrals fall semester).

Residence Life and Judicial Affairs

Learner Success

 

  • September academic collaborative event between Academic Advising, Student Success Center, and Tutoring Center for first-year NMC students that reside in the residential facility.
  • Trained front desk and RA student staff on operations for the Fall 2013 semester.
  • Continued implementation of the Live by Leading and Live by Learning communities.
  • Partnered with Human Resources to provide an on-site orientation for student workers.
  • Partnered with Tutoring Services to provide in-house tutoring to East Hall residents on a weekly basis.

 

Lifelong Relationships

 

  • Over 40 Residential Life programs were implemented in Spring 2013 by Resident Assistants and East Hall Governance Council which included the following categories:  academic, community building, health and wellness, campus involvement, embracing differences, validating identity, and enriching the world.
  • Collaborative event with the Student Life Office to provide information to residential students about the following topics:  personal counseling, suicide, and depression.
  • Partnered with North Central Michigan College Residential Life staff for Fall 2013 Resident Assistant training.

Transcribe Learning

  • Maxient software successfully implemented for NMC.
  • Continued implementation of Judicial Educator online tool for violators of the Student Rights and Responsibilities.

 

Fiscal Thriveablity

  • Partnered with Patrick Tesner of Sodexo to provide information during Fall 2013 East Hall resident check-in to talk with students on how to budget their finances for the upcoming year.
  • Partnered with NMC Financial Aid Office to discuss financial aid assistance to residents during Fall 2013 check-in.
  • East Hall housing numbers for Fall 2013 on count date was 230; this is higher than Fall 2012 count date numbers of 221.
  • 331 housing applications to date that have been processed for housing for Fall 2013/Spring 2014.

 

Staffing

NETWORKED WORKFORCE

  • Accepted, placed, and trained counseling intern from Capella University.
  • Hired Medical Office Manager, Deb Glauch, who comes to NMC Health Services with seven years of experience from a busy local practice.

 

Student Government

LIFELONG RELATIONSHIPS

  • Lisa Thomas and Emily Magner served as advisors to Student Government Association providing support and consultation; attended and facilitated 13 meetings.
  • Attended monthly Anti-bullying task force meetings, monthly “Embrace the Dream” event planning meetings, quarterly “Homeless Youth Initiative” meetings, and quarterly Suicide Prevention meetings.

 

Student Groups

LIFELONG RELATIONSHIPS

  • We have 53 active student groups on campus.
  • New Student Groups for Fall 2013:
  1. Ratio Christi.
  1. NMC Unmanned MAGTFS (Marine, Air, Ground, and Task Force Systems).
  2. The Recreational Advancement of the Musical Arts.
  • We supported student groups with the coordination of events, advertising, printing, fundraising, web page assistance, and communication skills.

Every new group and every group with new leadership met one- on-one with our Student Life Office Manager for their Student Leader and Advisor training. We educate our student leaders and advisors on protocol from the Business Office, Founders Hall, and Central Scheduling to connect them with campus resources available to them.  The training also taught best practices and included checklists to help student group achieve more success with event planning.

Student Health Services

LEARNER SUCCESS

 

  • Participated in 2014 influenza webinar on August 28th that was presented by the Department of Health and Human Services division of the CDC for the Influenza-like Illness Surveillance Network.  NMC Health Services is one of only 4 surveillance sites in northern Michigan which monitors influenza incidence for the CDC.  Another webinar on September 19th regarding the Influenza-like Surveillance Program was attended by Health Services staff.
  • Provided Resident Assistant training in medical emergency identification and health services on September 19th.
  • Participated in a conference call offered by the White House, ACA Conference Call with Stakeholders, on

September 26, 2013. Reviewed the insurance exchange implementation for the American Health Care Act and offered opportunity to ask questions.

  • Participated in a conference call offered by the White House with Vice President, Joe Biden, regarding the American Health Care Act on September 26, 2013.
  • Attended the Family Planning Advisory Committee meeting on October 17th with other health care professionals regarding Grand Traverse Community Health Department’s Family Planning Program as required by publically funded entities.
  • Attended a video conference on October 2nd that was presented by MSU Dept. of Medicine.  The topic was Non- Pharmaceutical Pain Management.
  • Attended the MDCH Annual Immunization Conference on October 15th at Treetops Resort in Gaylord.  NMC Health Services staff receives 2 free conference admissions for participating in the Influenza-like Illness Surveillance Network.
  • Attended video conference on Brain injury and Post-traumatic Stress Disorder in Veterans presented by Michigan Department of Rural Health and MSU Medical School on October 23rd.
  • Attended a webinar on November 5thentitled, “Over the Counter and Under the Microscopy”, presented by MSU and MI rural health.

FISCAL THRIVEABILITY

  • As of December 6, 2013, Student Health Service has seen 513 unduplicated students for 924 appointments.
  • Health Services has administered 181 influenza shots, 68 TB tests, 11 Tdap, 22 Hep B, and 1 HPV vaccinations.
  • Health Services preformed 61 Maritime and 45 Nursing physicals as well as drawn blood on 46 patients
  • Top five diagnoses include:  anxiety, depression, Attention Deficit Disorder, allergies, and upper respiratory infections.

TRANSCRIBE LEARNING

  • Implemented Electronic Medical Records.
  • Participated in multiple training sessions for Nuesoft MD electronic medical records.
  • Coordinated with IT, Systems & LAN and Facilities for the installation of computers, data ports, and electrical in each exam room.
  • Created multiple templates in Nuesoft for NMC patient care visits.
  • EMR’s will allow access to medical records by HS staff offsite.  Student Health Services will eventually have the ability to retrieve records from other facilities including Munson Medical Center as well as multiple other beneficial tasks, i.e., ordering prescriptions, laboratory testing, etc.

 

Student Life – General

 

LEARNER SUCCESS

  • Ongoing:
    • 176 students attended.
    • 328 total attendees.
    • Hosted “Coffee Chat” that gave student groups the opportunity network and to present their projects to their peers.
      • 18 groups attended.
      • 60 individuals attended.
      • Two Depression Talks have been held in the dorms.
  • Daily brain teasers contests and Student Life dollar giveaways; served an average of up to 15 students per day.
  • Free Student Life messenger bag giveaways.
  • Daily monitoring of Student Life Facebook page; increased audience “likes” from 661 to 742 students.
  • Hosted Anti Bullying Conference.
  • Depression Talks.
  • Student Life hosted “Fostering Success Webinar” and regional meeting.
  • Partnered with SGA to host Halloween Fest 2.0.
  • Street Drum Corp – 283 attended (91 NMC students).
  • Student Appreciation Week- hosted a week-long series of student events (therapy dogs, food, massages, music, yogurt parfaits) serving 200+ students per day.
  • Hosted mass student leadership training where all interested existing groups attended a refresher training session (25 groups).

Outreach Services

LEARNER SUCCESS

  • Presented three sessions at Faculty Development Day (Global Endorsement, Service Learning, and Working with Veterans).
  • Planned and held revised and expanded Commitment Scholarship Program Induction Ceremony.
  • Visited 16 area high schools to implement revised Commitment Program.
  • Took 35 junior and senior Commitment Scholarship students to Chicago for three days to visit museums, see a show, and experience a large American city.
  • Implemented initial steps for service learning at NMC.
  • Hired and trained Ameri-Corp volunteer to work with at–risk population.
  • Facilitated the creation of the West Hall Lounge.
  • Designed and developed a veteran in the classroom awareness video for NMC faculty and staff.
  • In conjunction with Student Life, planned two New Student/Veteran Orientations for Fall 2014. Created a video specific for this orientation and also created a separate orientation packet for our veteran students.
  • Made personal contact with over 170 veterans for 2014.

NATIONAL AND INTERNATIONAL EXPERTISE

  • Planned and hosted six delegates (students and advisors) from Brazil (US-Brazil Connect) for 10 days. Visits to various NMC departments, Traverse City Central High School, IAA, and the TBA-ISD Career Tech Center were included.
  • Planned and offered activities (guest lecturer from MSU, international photo contest, study abroad session, Global Flavors dinner) in observance of International Education Week.
  • Partnered with TCAPS to present an expanded Go Global International Fair (international music presentations, international food, workshop sessions on China, international cinema, African drumming, TC’s Global connections, hosted an international student and NMC study abroad opportunities) with over 350 in attendance.
  • Worked in partnership with Humanities and Communications to offer a successful trip for 12 to the Netherlands for an annual conference on type design.
  • Planned and offered three Passport student lecture series presentations focusing on Afghanistan, Russia, and Brazil.
  • Worked with various academic departments to set up study abroad opportunities in Brazil, Costa Rica, Russia, South Africa, Italy, and Denmark, for spring and summer 2014.
  • Completed extensive surveys and through our best practices and initiatives, NMC was awarded the highest Military-Friendly School distinction by both GI Jobs Military Friendly Schools and Military Advanced Education.

LIFELONG RELATIONSHIPS/NETWORKED WORKFORCE

  • Planned and implemented the 2nd Annual NMC Veterans Day event; we doubled the amount of veterans who participated.
  • Hosted Beyond the Boarders TV show on Brazil for Up North News.
  • Authored Youth Advisory Council grants in support of programming for at-risk youth. Grants awarded!
  • Created NMC’s “Voices of Vets” awareness video which was showed at Opening Conference and throughout the community – another first for NMC.
  • Coordinated the Veterans Appreciation Day with the Detroit Red Wings.  Two NMC veterans participated in the ceremonial puck dropping, enjoyed lunch, and had unlimited access to the players.  All interested NMC veterans received free tickets to the Red Wings Training Camp game. The veteran players also signed a jersey and personally addressed it to our NMC veterans.
  • Sponsored the performance, “Letters Home.”
  • Played a pivotal role in the TC Patriot Game.
  • Represented NMC and presented at the MCCA Conference on Military Best Practices. Our practices are being used as a model statewide.
